An exciting opportunity has opened up for the role of Training Assistant in MSELECT’s Training Department. The Training Assistant is a key post that focuses primarily on coordinating the day-to-day running of training activities. About the role
The Training Assistant is a key post that provides administrative and logistical support for training services. The main role of the Training Assistant is to work closely with the Training and other staff to ensure training programs are delivered accurately and efficiently; this includes coordinating day-to-day logistics and all communications and administration with participants and trainers.
The Training Assistant also works with trainers to organize and prepare materials and process the evaluations of courses. The Training Assistant may also provide support in representing MSELECT in carrier fairs, conferences and other activities.

Key responsibilities:
  • Coordinate the day-to-day administration, logistics, set up and delivery, including providing technical support, of training programs
  • Aids in scheduling training events, coordinates with instructors, obtains and distributes required instructional materials, and communicates schedules and details
  • Answer and forward e-mail and phone inquiries about training courses
  • Processes enrollments and answers routine inquiries regarding courses, schedules, and locations
  • Ensure effective logistics before and during course implementation including: liaising with the venue, undertaking administrative preparation of course materials in liaison with the trainers, 
  • and supporting trainers to ensure the smooth running of all courses
  • Manage all applications from initial inquiry stage to participation and follow-up, ensuring high quality of service delivery and responsiveness to clients’/participants needs
  • Support the development of needs assessment surveys, feedback and monitoring systems
  • Provide support on filing, organizing and archiving training materials
  • Coordinates additional services including technical equipment, meals and refreshments, housekeeping, maintenance or repairs
  • Uses an information system or database to enter data and produce reports on training statistics, inventory levels or assessments of the programs and instructors
  • Maintains and manages events and schedules calendar of the training department
  • Assist with any other tasks required to support the training department
  • Bachelor’s degree in administration or equivalent
  • Fluent speaking and writing in English 
  • Good IT and formatting skills (Microsoft Office)
  • Strong customer service skills
  • Strong interpersonal and communication skills
  • Ability to work as part of a team and on own initiative
  • Problem solving and decision making skills
  • Ability to work under pressure, to multi-task and prioritize
  • Efficient and organized with good attention to detail
  • Familiar with organizing events such as seminars, workshops or conferences
